How to Run Promotional Voice Call Campaigns: A Step-by-Step Guide

Automated voice broadcasting is one of the most direct and effective channels to engage customers, announce limited-time offers, or qualify leads at scale. Whether you are running flash sales, event reminders, or customer feedback surveys, promotional voice campaigns deliver your message directly into your customer's ear.

This guide walks you through the complete end-to-end process of setting up, launching, tracking, and retargeting promotional voice calls on DV Connect.

Step 1: Upload and Approve Your Audio Recording

Every voice broadcast begins with a clear, compliant voice message. Because promotional calls are subject to telecommunication guidelines, audio clips must be reviewed and approved before broadcasting.

  1. Navigate to Audio files in the left-hand navigation sidebar under Outbound.
  2. In the Upload a recording panel on the right:

    • Enter a descriptive Name (e.g., Diwali offer, Hindi) so you can identify it quickly when creating campaigns.
    • Drag and drop your audio file or click browse your computer (.mp3 or .wav, up to 10 MB).
  3. Click Upload.
Audio Best Practices for Quick Approval & High Engagement:

  • Recommended Format: Mono WAV, 16-bit, 8000 Hz (native phone line playback quality). Standard MP3 files are also accepted and converted automatically.
  • Hook Early: Most recipients decide whether to stay on the line within the first 10 seconds—keep your message crisp and compelling.
  • State Your Identity Clearly: Always mention your brand or business name within the first few seconds; recordings missing business identification are typically rejected.
  • Balanced Audio: Keep background music significantly lower than the voiceover so spoken instructions remain clear.
Once uploaded, wait for platform approval. You can still start configuring a draft campaign while the file is pending; it will automatically trigger once approved.

Step 2: Create a New Campaign

  1. From the left sidebar, select Campaigns.
  2. Click the + New campaign button in the top right corner.

Step 3: Configure Your Campaign Details & Audience

Inside the campaign builder, configure the core broadcast parameters:

  • Campaign Name: Enter a recognizable campaign title (e.g., Diwali offer, October).
  • Call Type: Select Voice promotional (promotional calls strictly operate within standard calling windows, typically 9:00 AM to 9:00 PM IST).
  • Recording to Play: Pick your approved audio file from the dropdown menu, or upload a new one directly.
  • Recipients: Upload a CSV file containing your contact numbers (you can download a Sample CSV from the top right to verify formatting) or paste mobile numbers directly into the target list.

Step 4: Enable Interactive DTMF Keypad Responses (Press 1 or 2)

If you want recipients to take immediate action—such as confirming interest, requesting a callback, or unsubscribing—you can enable interactive keypad capture (IVR input).

  1. Check the box labeled Ask them to press a key.
  2. Audio Prompt Requirement: Ensure your uploaded voice recording explicitly instructs the listener on what to press (e.g., "Press 1 to speak with an agent, or press 2 to opt out").
  3. Map the Keys:

    • Select the relevant keys (supports numbers 0 through 9).
    • Add a label in the What it means field (e.g., Key 1 = Yes / Interested, Key 2 = No).
    • (Optional) Provide a webhook endpoint in Call this address (optional) to push pressed numbers into your CRM or lead management system in real time.
  4. Input Window: Callers can press a key while the message is playing, and the system waits 6 seconds after the recording ends for any final input. If you need a longer response window, reach out to the support team to adjust your line hold duration.

Step 5: Schedule and Launch

  1. Under the Settings panel on the right:

    • Show as: Select the Caller ID / Virtual Number from which the call will originate.
    • Start at: Specify a future date and time to schedule the blast, or leave it blank to start dialing as soon as phone lines are free.
  2. Click Create and start.

Step 6: Monitor Reports and Export Data

Once launched, you can track live delivery metrics from the Campaigns dashboard:

  1. Click directly on your Campaign Name in the campaigns list.
  2. Review high-level performance cards:

    • Total Calls Dialed vs. Answered Calls (including answer rate percentages).
    • Total Talk Time and Credits Used (unanswered calls automatically credit back unused balances).
    • What People Pressed: A breakdown of how many callers pressed specific keypad digits.
    • Call Breakdown Log: Detailed status per phone number (Completed, No answer, Failed, call duration, and timestamp).
  3. Click the Export button in the top right to download a complete CSV report for offline analysis or sales team follow-ups.

Step 7: Retargeting with "Run Again"

To maximize conversions without manually sorting through call logs, you can trigger follow-ups directly from the campaign details page:

  1. Click the Run again button at the top right of the campaign report.
  2. Choose your audience segment in the popup modal:

    • Those who didn't answer: Re-dials contacts who were busy, unavailable, or missed the initial call.
    • Everyone in this campaign: Runs the entire list again.
    • Those who answered: Send a secondary follow-up offer to engaged listeners.
    • A new list: Reuses identical audio and keypress settings with a fresh batch of numbers.
  3. Choose whether to Start now or Schedule for later, then click Run again to initiate the campaign.
